PART A — PRIVACY POLICY

1. Introduction

We are committed to protecting your personal information and handling it responsibly.

This Privacy Policy outlines how we collect, use, disclose and manage personal information in connection with the Celebrating Women Expo (CWE) and Celebrating Women Awards (CWA).

We aim to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, where applicable.

full name

email address

phone number

business name and business details

ABN (if required)

website and social media links

uploaded materials (logos, images, headshots, bios)

event participation details

payment and transaction information

communications with us


3. Method of Collection

We collect personal information when you:

submit an expression of interest

complete registration or onboarding forms

upload materials through our systems

communicate with us (email, phone, forms)

participate in the Event


4. Purpose of Collection

We collect and use your information to:

manage applications, bookings and participation

communicate event updates and logistics

process payments and maintain records

create listings, profiles and promotional materials

promote participants and the Event

improve future events and services

comply with legal obligations


5. Marketing and Promotional Use

By providing your information, you consent to:

use of your business name, logo, images and content

inclusion in marketing, website, social media and promotional materials

photography and videography taken at the Event being used for promotional purposes

You confirm that you have the right to provide all materials submitted.


6. Disclosure of Information

We may disclose your information to:

event venues and contractors

service providers (CRM, marketing platforms, payment processors)

partners involved in event delivery

authorities where required by law

We do not sell personal information.


7. Data Security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.


8. Access and Correction

You may request access to or correction of your personal information by contacting:

9. Retention

We may retain personal information for operational, legal and marketing purposes.


10. Updates

We may update this Privacy Policy at any time. The latest version will apply.

PART B— TERMS AND CONDITIONS

1. Acceptance of Terms

By applying, registering, booking, paying a deposit, or participating in the Celebrating Women Expo (CWE) or Celebrating Women Awards (CWA), you agree to be bound by these Terms and Conditions.


2. Applications and Acceptance

2.1 All applications are subject to approval by the organiser.

2.2 We reserve the right, in our absolute discretion, to accept or decline any application.

2.3 A booking is not confirmed until:

your application has been approved; and

the required deposit or initial payment has been received.

2.4 We may refuse participation, cancel a booking, or remove a participant where:

information provided is false, misleading or incomplete

payment obligations are not met

there is a breach of these Terms

the participant’s business or conduct is not aligned with the Event


3. Stall Allocation and Event Participation

3.1 Stall positions and layout are determined at the organiser’s discretion.

3.2 We may change layout, floorplans or positioning at any time if required.

3.3 No exclusivity is guaranteed unless agreed in writing.

3.4 Participants must comply with all event instructions and venue requirements.


4. Payment Terms

4.1 All prices are in Australian Dollars.

4.2 A non-refundable deposit is required to secure your booking.

4.3 Full payment must be received by 20 July 2026 unless otherwise agreed in writing.

4.4 If full payment is not received by 20 July 2026, we may:

cancel your booking

forfeit all payments made

remove your business from promotions

reallocate or resell your space

4.5 Time is of the essence in relation to all payments.

4.6 No participation, promotion or stall access will be granted unless full payment has been received.

4.7 We are not obliged to hold any stall or participation space without full payment.

4.8 We reserve the right to pursue recovery of any outstanding amounts through appropriate legal or collection processes.


5. Strict Cancellation, Default and No Refund Policy

5.1 All deposits are strictly non-refundable.

5.2 If you cancel your participation for any reason, all payments made will be forfeited.

5.3 Failure to complete payment by 20 July 2026 will be treated as cancellation.

5.4 No refunds, credits or transfers will be provided for:

change of mind

change of circumstances

inability to attend

dissatisfaction with results

5.5 Withdrawal after 20 July 2026 does not remove your obligation to pay the full booking amount.

5.6 Transfers must be approved in writing and may incur a fee.

5.7 Nothing in these Terms excludes rights under Australian Consumer Law.


6. Non-Attendance

If a participant fails to attend the Event for any reason, no refund, credit or transfer will be provided.


7. No Reliance / No Guarantees

Participants acknowledge that:

Participation in the Event is for promotional and networking purposes only

The organiser does not guarantee any level of attendance, sales, leads, exposure or business outcomes

No representations or promises have been made regarding commercial results


8. No Set-Off / No Withholding

Participants must not withhold or refuse payment based on dissatisfaction with outcomes, attendance, or expectations.


9. Marketing, Listings and Promotion

Participants grant permission for use of:

business name

logo

images

bio and submitted content

for marketing and promotional purposes.

Promotion may be withheld if payment is incomplete.


10. Participant Conduct

Participants must act professionally and respectfully.

We may remove participants without refund for misconduct or breach of Terms.


11. Insurance, Risk and Property

Participants are responsible for their own property and insurance.

We are not liable for loss, theft or damage.


12. Limitation of Liability

To the extent permitted by law:

we are not liable for indirect or consequential loss

liability is limited to the amount paid

Australian Consumer Law rights are not excluded.


13. Event Changes and Force Majeure

We may change or cancel the Event due to circumstances beyond our control.

We are not liable for associated costs or losses.


14. Payment Disputes

Participants agree not to initiate a chargeback without first contacting us.

Unauthorised disputes may result in recovery action.


15. Intellectual Property

All event branding and materials remain our property.


16. Entire Agreement

These Terms and Conditions constitute the entire agreement between the parties and supersede all prior discussions, communications or representations, whether written or verbal.


17. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.


18. Governing Law

These Terms are governed by the laws of New South Wales, Australia.
